Job Description:

WFO - Work-From-Office is a setup based in Angeles//Cebu/Mabalacat/Makati/Ortigas  

We are seeking a detail-oriented and proactive Bookkeeper & Administrative Coordinator to support our residential construction and property management operations. This role will manage day-to-day bookkeeping, financial reporting, job costing, and administrative coordination across construction projects and rental properties. The ideal candidate has experience with QuickBooks Online (QBO) and JobTread, and is comfortable working in a fast-paced construction environment. 

Key Responsibilities:

Bookkeeping & Finance 

  • Assist with rolling out and maintaining QuickBooks Online (QBO) and JobTread integrations 
  • Maintain accurate financial records in QBO and JobTread 
  • Perform general bookkeeping and data entry 
  • Manage Accounts Payable and Accounts Receivable (AP/AR) 
  • Track and reconcile credit card transactions 
  • Process bills and manage vendor payments 
  • Handle billing and invoice management 
  • Prepare and draft financial statements 
  • Perform bank and credit card reconciliations 
  • Manage job costing and profitability analysis by project 
  • Create and maintain chart of accounts and expense categorization 
  • Prepare daily, monthly, and end-of-month financial reports 
  • Track capital improvements and expenses for depreciation 
  • Maintain records and reporting for 1099 subcontractors 

Administrative & Construction Support 

  • Assist with JobTread system rollout and ongoing usage 
  • Input and maintain vendor, subcontractor, and COI (Certificate of Insurance) information 
  • Sync financial and operational data between JobTread and QBO 
  • Organize subcontractor price lists and contracts 
  • Assist in developing and maintaining processes to track material selections per project 

Qualification and requirements:

  • Proven experience in bookkeeping, preferably in construction or real estate 
  • Strong knowledge of QuickBooks Online 
  • Understanding of job costing and construction accounting 
  • High attention to detail and strong organizational skills 
  • Ability to manage multiple projects and deadlines 
  • Strong communication and documentation skills 

Nice to Have 

  • Experience with JobTread, Stessa, or DoorLoop (preferred) 
  • Experience supporting residential construction projects 
  • Familiarity with subcontractor management and compliance 
  • Experience working with property management operations 

Non-negotiable skills & requirements:

  • Proven experience in bookkeeping, preferably in construction or real estate 
  • Strong knowledge of QuickBooks Online 
  • Understanding of job costing and construction accounting 
  • High attention to detail and strong organizational skills
