Provide inside-sales support to the Sales Lead by handling prospecting, client follow-ups, scheduling, proposal prep, CRM hygiene, and real-time note-taking during calls. The goal is to keep the pipeline moving and the Sales Lead focused on high-value conversations.

 

Responsibilities:

Pipeline & Outreach

  • Research target companies/contacts; build and maintain prospect lists.
  • Execute email/LinkedIn outreach sequences and log responses in the CRM.
  • Qualify inbound/warm leads with a scripted discovery checklist (when requested).


Scheduling & Coordination

  • Book and confirm appointments, send calendar invites, and manage reschedules.
  • Prepare call briefs (company snapshot, prior touchpoints, open items, next steps).

 

Call Support & Notes

  • Join select client calls to take structured notes/action items (live or via approved recordings).
  • Produce concise call summaries and next-step trackers within agreed templates.


Proposal & Sales Collateral

  • Draft, format, and version proposals/SOWs using templates; route for internal review.
  • Assemble slide decks, one-pagers, and follow-up emails post-meeting.

 

CRM & Reporting

  • Keep opportunities, activities, and contacts current; enforce data quality standards.
  • Generate weekly pipeline, activity, and follow-up reports for Adam/Heather.
  • Track SLAs on response times and follow-through.

 

Inbox & Admin Support

  • Manage sales inbox triage: tag, route, and draft responses for review.
  • Maintain organized folders for proposals, assets, and client documents.

 

Confidentiality & Compliance

  • Respect client confidentiality; do not record calls where prohibited or proprietary.
  • Use approved tools only; follow data-handling and security guidelines.

 

Qualifications

  • 2+ years in Sales VA/SDR/Account Coordination or Executive Assistant (sales-focused) roles.
  • Excellent spoken and written English; confident on video and phone.
  • Strong organization, attention to detail, and note-taking discipline.
  • Proficient with CRM usage and task management (e.g., HubSpot, Pipedrive, or similar).
  • Comfortable working US Eastern hours (core 8–5 ET with slight flexibility).

 

Nice-to-Have

  • Exposure to engineering, technical services, AEC, or professional services sales.
  • Experience with call tools and meeting assistants (e.g., Teams; Fathom or similar).
  • Intermediate Excel/Google Sheets skills for simple list builds and reporting.
  • Basic slide design skills (Google Slides/PowerPoint).

 

Tools & Environment

  • Primary: Microsoft Teams (video/voice), Odoo CRM 
  • Supporting: Google Workspace or Microsoft 365, LinkedIn Sales Navigator
  • Security: Company email, approved password manager, and VPN as needed.
