Job Description:

We are looking for a Bookkeeper and Tax Preparer to join our fully remote team. This role is ideal for someone who thrives in a fast-paced, client-focused environment and enjoys working closely with a CPA while contributing to a growing firm. You will play a key role in managing financial operations for multiple clients, including bookkeeping, payroll, and tax preparation, while leveraging modern tools and technology to deliver efficient, high-quality results.

Qualification and requirements:

  • Minimum of 5 years of experience performing bank reconciliations, account analysis, payroll, and issuing financial reports on behalf of a Certified Public Accounting firm
  • Bachelor's degree in accounting or another related career field
  • Solid understanding of accounting principles (GAAP)
  • QuickBooks Online ProAdvisor Certification (or completed within 30 days of hire), with hands-on experience running payroll in Gusto
  • Hands-on experience preparing returns in CCH Axcess Tax (Pro)
  • Resourceful with AI tools—comfortable using Claude (or similar) to accelerate analysis, draft client communications, summarize documents, and streamline repetitive workflows
  • Highly responsive to CPA and client requests
  • Self-starter able to work autonomously without constant or direct supervision
  • Strong technical skills and great attention to detail

  • Familiar with U.S. investment real estate depreciation
  • Experience with Wealthbox CRM is a plus

Key Responsibilities:

  • Managing, categorizing, and reconciling financial transactions for multiple clients in QuickBooks Online
  • Preparing financial statements, running payroll through Gusto, closing out the month, and timely delivering financial statements by the 5th of the following month
  • Managing the process of preparing, communicating, and completing U.S. tax returns in CCH Axcess Pro and assisting the CPA
  • Communicating with the CPA to understand and serve client needs
  • Creating and tracking client invoicing when appropriate
  • Leveraging AI tools (e.g., Claude) to accelerate analysis, document review, and client-facing drafts

Key Performance Indicators

  • KPIs are tied to wage increases and bonus potential.

1. Timely Financial Statements (20%)

  • Percentage of financial statements delivered to clients by the 5th–10th business day of the following month
  • YTD vs. prior YTD with % comparison from prior period
  • Balance sheet (verified reconciled)
  • Current month P&L

2. Client Communication Score (20%)

  • Aim for 95% or above to ensure timeliness and client satisfaction (4.5 or higher)
  • Respond to requests as quickly as possible, no later than 4 hours. If a request falls on a weekend, respond within the first hour of the following business day

3. Managing Information Process (30%)

  • Follow Wealthbox workflow
  • Wealthbox task completion rate evaluated weekly
  • Work with the CFP to ensure documents and tax projections are filed immediately
  • Send the initial email to the client with the shared folder during tax kickoff season
  • Update and include the questionnaire to clients and own the follow-up to get them all in the client file
  • Use last year's return as the baseline for tax projection or tax preparation
  • Discuss changes from prior year and clarify the actual year
  • The firm will have client Schwab or Fidelity 1099s, margin interest, and investment management fees—obtain from the operations manager
  • Weekly audit each client file during tax season and email the client with missing information, cc'ing team members

4. Reliability (15%)

  • Work hours are 8:00 AM – 4:00 PM PST
  • Provide 1 week advance notice if you need a different work schedule on a particular day
  • Provide 2 weeks advance notice for any other SIL (PTO) days

5. Quarterly Estimate Reminders (10%)

  • At the first of the quarterly month, send tax reminders and ask if clients would like us to pay on their behalf
  • Confirm with outside providers on quarterly payments for designated clients

6. Assistance with Tax Projections (10%)

  • Upload all 1040s to Holistiplan
  • Review year-end business returns
  • Estimated yearly percentage increase/decrease in revenue

7. Enter Data in CCH Axcess Pro for Personal Tax Clients with Accuracy (10%)

8. IRS and State/Local Correspondence

  • Prioritize follow-up with the IRS and state/local tax agencies on client correspondence matters to alleviate uncertainty

9. Billing & Collections

  • Send invoices to clients, collect tax payments, and update billing so it is automated
