Administrative Assistant

Job Summary:

We are looking for a highly organized and detail-oriented Admin Assistant who has solid experience in purchasing, sales coordination, and administrative work. The role will also focus on handling permits and regulatory compliance for a food manufacturing company. The ideal candidate must have strong communication skills, both written and verbal, and can efficiently manage multiple tasks with accuracy.

Key Responsibilities:

• Handle purchasing activities (supplier coordination, PO preparation, monitoring deliveries)
• Assist in sales coordination (order processing, documentation, client follow-ups)
• Manage and monitor company permits and licenses, including:
• LLDA (Laguna Lake Development Authority)
• DOE (Department of Energy), if applicable
• DOLE compliance requirements
• Business Permit / Mayor’s Permit
• BIR and other government-related documents
• FDA (for food manufacturing)
• Ensure timely renewal and compliance of all regulatory requirements
• Draft formal letters, reports, and documentation with accuracy and professionalism
• Maintain organized filing system (hard copy and digital)
• Coordinate with internal departments and external agencies
• Perform general administrative tasks as needed

Qualifications:

• Bachelor’s degree in Business Administration or related field
• With experience in purchasing, sales support, and admin functions
• Knowledgeable in processing and handling government permits (especially for food manufacturing)
• Strong written and verbal communication skills
• Highly organized, detail-oriented, and reliable
• Proficient in MS Office (Excel, Word, etc.)
• Ability to work under pressure and meet deadlines

Preferred:

• Experience in food manufacturing industry is an advantage
• Familiar with compliance and audit requirements
