ABOUT THE ROLE

This role supports the general administration of the business to ensure operational, management and other key functions of the business can operate effectively and efficiently. Reporting to the General Manager, the role focuses on finance and administration, communication, job management system coordination, and administration & reporting functions.

We have partnered with an Australian-based company that specializes in designing, installing, and maintaining long-term electrical, security, and communications solutions.

We’re looking for someone with at least 2–3 years of relevant experience, with a proactive mindset and a willingness to learn and grow. Ideal for someone detail-oriented with strong organizational and analytical abilities, who can work independently and collaboratively in a fast-paced environment.


WHAT YOU’LL BE WORKING ON:

• Preparation of weekly cashflow forecast

• Maintain high ethical standards and procedures of financial management

• Ensure all financial reporting obligations are met

• Administer and manage accounts payable, accounts receivable, bank and credit card reconciliations

• Monitor accounts receivable for outstanding amounts, discrepancies and irregularities and make sure payments are up to date

• Complete daily, weekly and monthly reporting requirements by setting deadlines

• Respond to enquiries from the GM, PMs or Clients in relation to Accounts

• Responsible for ensuring all customer invoicing is completed to the required standard and in a timely manner after the jobs/projects are completed

• Arrange and maintain any retentions and bank guarantees

• Upload, code and approve all bills to Xero

• Upload all bills to Tradify

• Answer inbound calls in a polite and friendly manner

• Respond to accounts enquiries by phone or email

• Communicate effectively and professionally with clients, project stakeholders, staff, sub-contractor, suppliers and those affected by the operations of the company

• Communicate effectively with professional emails and letters to clients, project stakeholders, staff, sub-contractor and suppliers as required

• Book in job request on the current system, schedule the job request utilising the current system and organise suitable technician to carry out the job

• Gather new Clients information and set them up in the system

• Ensure all bills are uploaded to job management system, and matched to the corresponding Purchase Order

• Complete weekly job reporting as requested by their Manager

• Ensure that all job information including time sheets are accurate and up to date, so that all invoicing is to be completed in a timely manner

• Receipt invoices from suppliers into Job Management System

• Compile invoices for approval, seek approval and process <or issue to external bookkeeper/accountant for processing>

• Maintain registers including annual leave, sick leave, vehicle registration, insurances, plant and equipment, asset registers etc

• Type and send correspondence to either clients, technicians or suppliers regarding their accounts

• Complete Data input as required

• Undertake other tasks as directed by their Manager and support all business functions as required

• At least 2–3 years of relevant experience, with a proactive mindset and a willingness to learn and grow

• Excellent verbal and written communication skills

• Possess account management skills

• Proficiency in MS Office, particularly Excel, is essential

• Experience in handling Accounts Payable (AP) and Accounts Receivable (AR) functions

• With bookkeeping experience

• Detail-oriented with strong organizational and analytical abilities

• Ability to work independently and collaboratively in a fast-paced environment

• Comfortable in engaging with people
