Compliance & Documentation Officer
Position Purpose: This dual-function role provides high-level executive administrative partnership to the VP of Administration while serving as the central compliance anchor for the companies under the Velez Group (including Velez College, Cebu Institute of Medicine, and the Real Estate Property Rentals division). The ideal candidate balances meticulous regulatory precision with a collaborative, employee-centric approach to corporate governance.
Key Responsibilities and Tasks
1. Regulatory Compliance & Permit Management
- Monitors all regulatory permits, licenses, and statutory compliances for the companies under the Velez Group, ensuring proactive and timely filing before concerned government offices and agencies.
- Establishes and maintains a centralized compliance timetable for all statutory filings and payments, systematically advising the respective business units of upcoming deadlines well in advance to ensure zero penalties or interests are incurred.
- Directly monitors and facilitates the timely payment of Real Property Taxes (RPTs) and Local Business Taxes (LBT) across the respective companies, coordinates with local government units to safeguard corporate standing.
- Consolidates all regulatory compliance data and permit status updates into clear, structured reports for use in management and board meetings.
- Arranges, reviews, and prepares all documents requiring executive signature, ensuring accuracy and completeness.
2. Legal Support & Document Control
- Partners directly with the Legal Head to review, proofread, and cross-reference various contracts, agreements, and legal written advisories to ensure accuracy and risk mitigation.
- Provides high-level administrative and legal support to the Administration Team and Executive Office in drafting, proofreading, and preparing pertinent legal documents, including Secretary Certificates, affidavits, collection/demand letters, and official memoranda.
- Assists other departments within the division by drafting necessary documentation (e.g., letters, certifications) and collating pertinent papers required for external audits, board meetings, and high-profile corporate events.
- Compiles and safekeeps all corporate-related documents, establishing an orderly, well-maintained, and secure filing system that ensures all property-related and organizational files are intact and easily accessible to authorized personnel.
