ADMINISTRATIVE ASSISTANT

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support, prepare sales reports, and assist in personnel management. The ideal candidate should possess strong communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Administrative Functions

  • Provide general administrative and clerical support to management and staff.
  • Prepare, organize, and maintain company records, documents, and filing systems.
  • Coordinate meetings, appointments, and schedules.
  • Handle incoming calls, emails, and correspondence professionally.
  • Monitor office supplies and coordinate purchasing requirements.

Sales Reporting

  • Prepare daily, weekly, and monthly sales reports.
  • Consolidate sales data from various branches or departments.
  • Monitor sales performance and generate reports for management review.
  • Maintain accurate sales records and databases.
  • Assist the sales team with documentation, quotations, and order processing.

Personnel Administration

  • Assist in employee attendance monitoring and timekeeping.
  • Maintain personnel files and employee records.
  • Coordinate recruitment activities, including scheduling interviews and onboarding.
  • Monitor employee leave applications and other HR-related documentation.
  • Support management in implementing company policies and procedures.

Qualifications:

  • Bachelor's degree in Business Administration, Management, Human Resources, Marketing, or a related field.
  • At least 1 year of experience in administrative, sales support, or HR-related functions.
  • Knowledge of sales reporting and data analysis.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with professionalism.
  • Can work independently and as part of a team.

Preferred Skills:

  • Experience with inventory management and sales systems.
  • Knowledge of basic HR and personnel administration processes.
  • Strong analytical and problem-solving abilities.
  • Ability to work under pressure and meet deadlines.
