- Work with compliance records, reports, documents, and data, checking information for accuracy and completeness.
- Coordinate with clients and contractors while learning the partner’s compliance processes and internal system.
About the Role
As a Compliance Support Associate, you will assist with maintaining compliance records, reviewing documentation, coordinating with clients and contractors, and ensuring required information is accurate and up to date.
We have partnered with a company that is a leader in Risk and Compliance Auditing and Management services for the built property sector in Australia. Their work covers Essential Services Management, Property Risk, and Emergency Management.
What you’ll be working on:
- Maintain and manage assigned client portfolios and compliance records.
- Process data entry and update information accurately in internal systems.
- Review and process service reports and contractor certification reports.
- Liaise with clients and contractors regarding certification documents, service reports, and outstanding defects.
- Process ESM-related correspondence and contractor certifications in a timely manner.
- Review submitted information and identify issues or non-compliance that may delay site compliance or the issuing of annual statements.
- Prepare portfolio reports and meeting minutes.
- Prepare and issue annual ESM compliance certifications.
- Develop an understanding of ESM regulations and requirements across Australian states, with training provided.
- Learn and effectively use the internal system, with training provided.
- Attend client, contractor, and internal meetings as required.
- Provide support to the CSO Lead and other team members where required.
- Work closely with the CSO Lead, Compliance Supervisor, and Account Managers as required.
- Take on other administrative and compliance-related tasks to support the team.
What we’re looking for:
- Open to fresh graduates up to 3 years experience who are eager to learn.
- Internship, OJT, or practical exposure to administration, document management, records, legal support, HR, operations, or similar work is an advantage but not required.
- Comfortable working with documents, records, reports, and data, with attention to accuracy and completeness.
- Good verbal and written communication skills.
- Comfortable coordinating and following up with clients, contractors, and team members.
- Knowledgeable in Microsoft Office.
- Organized and able to manage tasks and deadlines.
- Able to handle information professionally and with appropriate confidentiality.
- Willing to learn new systems, processes, and compliance requirements.
- Able to work independently while contributing as part of a team.
