Project Support and Client Interface

  • Coordination and completion of projects on time within budget and within scope
  • Oversee all aspects of projects
  • Set deadlines, monitor and summarize progress of project
  • Prepare reports for upper management regarding status of project
  • Handling for bidding: Quotation, Bidding summary, reviews project description
  • Daily monitoring and continuous updates to AE/Client of each project – planning, design, production, before/after installation reports, completion reports and project closing
  • Discuss on updates on all ongoing and upcoming projects, including issues and other related concerns
  • Negotiating with clients, solving any problems and making sure deadlines are met
  • Provide progress reports, photos through factory visits and installation supervisions frequently
  • Supervise vendor during installation and fabrication based on the inspection checklist
  • Meet with vendors to check factory during fabrication stage before installation
  • Weekly report on time
  • Set up standard module cost to analyze if the quotation provided by vendor is reasonable
  • Attends to all pre-construction, during and after construction concerns – from reviewing of costs of civil/modules to project turn over
  • Liaises with AE, clients, designers, contractors and mall admin to ensure projects are within timeline, guidelines, quality standards and budget
  • Conducts constant site monitoring during installations, and summarizes punch lists for rectifications
  • Performs warehouse and site inspections to ensure quality
  • Creates a list of punch lists and schedules rectifications
  • Trade Checks


Vendor and Supplier Management

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects
  • Ensure that all projects are delivered on-time, within scope and within budget
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Ensure resource availability and allocation
  • Assist in the development of a detailed project plan to monitor and track progress
  • Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
  • Measure project performance using appropriate tools and techniques
  • Report and escalate to management as needed
  • Manage the relationship with the client and all stakeholders
  • Perform risk management to minimize project risks
  • Establish and maintain relationships with third parties/vendors
  • Create and maintain comprehensive project documentation
  • Meet with clients to take detailed ordering briefs and clarify specific requirements of each project
  • Delegate project tasks based on junior staff members' individual strengths, skill set and experience levels
  • Track project performance, specifically to analyze the successful completion of short and long-term goals
  • Meet budgetary objectives and make adjustments to project constraints based on financial analysis
