Job Title: Marketing Admin (Overseas / Contract)

Reports To: Brand Manager

FLSA Status:  Non-Exempt

Department: Marketing

Role Objective

Support the execution, administration, and financial tracking of marketing programs by combining data analysis, budget management, and operational support. This role ensures marketing initiatives are executed efficiently, aligned with budget, and keeps our team informed on consumer and retail insights.

Key Responsibilities

Invoice Processing & Budget Administration.

  • Administer end-to-end invoice processing, including coding, tracking, and submission.
  • Ensure alignment with approved marketing budgets, Trade-Promotions Marketing (TPM) plans, and accruals.
  • Perform budget reconciliation and maintain accurate spend tracking.
  • Administer p-card transactions, ensuring compliance with company policies.
  • Partner with finance and vendors to resolve discrepancies and maintain accurate records.
  • Maintain organized documentation for all marketing expenses.
  • Support Brand Manager and Director with marketing budget KPI tracking and impact studies.

Marketing Operations & Program Support

  • Administer promotional material orders and shipments via online portals and shopping cart systems.
  • Support execution and administration key marketing initiatives across: channels & trade partners (Natural, C-Store, Grocery, DSD), Point-Of-Sale , Shopper marketing, Social Media Marketing, Fixed Asset Placement (Refrigerator & Display Initiatives & Tracking)
  • Maintain promotional calendars, program trackers, and campaign documentation.
  • Disseminate information to teams to ensure timely execution and delivery of materials to support our marketing efforts.
  • Support Brand Management team with the building-out of key presentations and materials to rollout and effectively communicate the marketing plan to the field teams (internal sales teams, brokers, distributors, DSD partners, merchandisers, and external marketing service providers)

Trade Program Management

  • Support execution of sales and marketing trade support programs (e.g., prize programs, promotions, dealer loaders, etc.)
  • Administer the fulfillment process of key materials to support the various key marketing programs.
  • Track submissions, approvals, and fulfillment to ensure a seamless experience.
  • Administer logistics with internal stakeholders and external vendors.
  • Maintain accurate reporting on participation and program performance.

POS & Inventory Management

  • Maintain inventory levels for POS materials and branded merchandise; ensuring that our teams have what they need to execute in the field.
  • Monitor ordering, tracking, and distribution of POS and premium items.
  • Coordinate with vendors and warehouses to ensure timely delivery.
  • Maintain inventory systems and ensure accurate counts and reporting.

Consumer Insights & Data Analysis

  • Analyze consumer trends and purchasing behavior using platforms such as Numerator.
  • Assist in pulling and organizing data from SPINS, Numerator, and internal systems
  • Identify trends and provide insights to support marketing and sales decision-making.

Reporting & Performance Tracking

  • Maintain standardized reporting for marketing spend, promotions, and program performance.
  • Support development of reports on sales performance, promotional effectiveness, and ROI
  • Identify discrepancies in spend, invoices, or program execution and escalate as needed.
  • Prepare clean summaries and insights for internal stakeholders.

Process & Documentation

  • Maintain organized documentation of workflows, vendors, budgets, and marketing programs.
  • Ensure accuracy, consistency, and timely updates across all tracking tools
  • Support continuous improvement of marketing administrative processes

Required Skills & Experience

  • 2–4 years of experience in marketing operations, marketing coordination, or administrative analytics roles.
  • Strong Excel skills (pivot tables, lookups, basic formulas).
  • Experience with syndicated data platforms (e.g., Numerator, SPINS, IRI) preferred.
  • Experience with invoice processing, budgeting, or financial tracking preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple workflows and deadlines.
  • Strong written communication skills in English.
  • Experience supporting U.S.-based teams across time zones preferred.
  • Understanding of project management and timeline preferred.
